In this guide we tell you how to know the time has come to change, what options you have (with their pros and cons, including not changing) and what moving to a system looks like without your day-to-day falling apart.
Six signs that your Excel is no longer enough
1. Only one person understands the spreadsheet
If that person goes on vacation, gets sick or leaves, nobody knows how to update it, what each color means or where each number comes from. The business depends on someone’s memory.
2. Stock doesn’t add up
The spreadsheet says 12 are left and the storeroom has 7. It happens because someone sold and didn’t write it down, because it was entered twice or because a formula broke and nobody noticed. In the end, to know how much there is, you have to go and count.
3. There are several versions of the same file
One copy on the shop computer, another on the owner’s phone, another sent over WhatsApp. Nobody knows which is the right one, and when two people edit at once, they overwrite each other.
4. You invoice or move data by hand
You copy the sale’s data from the spreadsheet to the invoicing tool, from the chat to the spreadsheet, from the spreadsheet to the accountant’s system. Every copy costs time and is a chance for error.
5. To know how you did, you have to build a report
You want to know which product sells most, which customer owes or how the month is going, and the answer is “give me an afternoon and I’ll put it together”. The information is there, but you can’t see it when you need it.
6. The team works outside the office and can’t log anything
Delivery people, technicians or salespeople who message “delivered” or “collected” on WhatsApp, and someone enters it in the spreadsheet later. Or doesn’t.
If you recognized yourself in two or three of these signs, it’s worth looking at options. If it’s just one and only once in a while, tidying up what you have may be enough.
What the options are (honestly)
The answer isn’t always a custom system. These are the three options, and when each one makes sense.
Option 1: tidy up the Excel you already have
Sometimes the problem isn’t Excel, but how it’s set up. A single file in the cloud (so there are no copies), clear tabs, drop-down lists so the same thing isn’t typed a thousand ways, protected formulas and one person responsible for the structure.
- It makes sense if: there are few of you, few people enter data and what you need is more order rather than new features.
- It’s not enough if: several people enter data at the same time, stock moves all day, you need to invoice from it or the team enters data from the road.
Option 2: a ready-made system (“off-the-shelf”)
These are programs that already exist and are used with a subscription: management, stock, invoicing or CRM systems designed for many businesses at once.
- Pros: you start quickly, they’re already tested by many users and they usually come with support.
- Cons: you adapt to the system, not the other way around. If your way of working is particular (bundles, price lists per customer, steps of your own industry), you end up using the system for one part and Excel for the rest. And sometimes you pay for many features you don’t use.
- It makes sense if: your way of working is fairly standard and you find one that covers it almost completely.
Option 3: a custom system
A system made for how your business works: your steps, your names, your rules, connected to what you already use (WhatsApp, invoicing, your accountant’s system).
- Pros: it does exactly what you need, with no extra features, and grows with the business.
- Cons: it takes longer to build than subscribing to a ready-made one, and you need to spend time at the start explaining how you work.
- It makes sense if: you tried off-the-shelf ones and they didn’t fit, your operation has its own steps or you need several things to talk to each other (sales, stock, deliveries, collections).
There is a middle ground: systems already designed for an industry (agriculture, construction, logistics, health, retail) that adapt to your case. They start from a proven base and adjust to what’s yours.
What moving from Excel to a system looks like, step by step
Changing tools doesn’t have to slow the business down. This is what an orderly migration looks like:
- Understand how you work today. Before choosing anything: what gets written down, who writes it, what repeats every day and where things get stuck. Often the real problem shows up here.
- Choose where to start. You don’t have to move everything at once. You begin with what hurts most: stock, invoicing, orders or collections.
- Clean the data. The spreadsheets are reviewed: duplicate customers, products written three different ways, old rows. It’s the most boring part and the most important: if garbage goes into the new system, garbage comes out.
- Load the data into the system. Customers, products, prices and balances are moved over from the spreadsheets, without retyping everything by hand.
- Test with real cases. For a while the system is used in parallel or with part of the team, to find what’s missing before depending on it.
- Teach the team. Each person learns only what they use. If the system is well designed, it’s learned quickly.
- Switch off the spreadsheet. When the system works, Excel stops being used for that. If both live side by side, people go back to what they know and the gains are lost.
- Adjust and add. With the first part running, the next one is added: if you started with stock, invoicing or WhatsApp orders come next.
What to prepare before starting
You don’t need to have everything in order: that’s what the process is for. But it helps a lot to have this at hand:
- All the spreadsheets you use today, even if they’re messy. Including the “parallel” ones each person keeps.
- A list of what is done every day: “we take the order on WhatsApp, write it down, prepare it, invoice it, deliver it and collect”.
- What bothers you most today, in your own words: “I never know what stock I have”, “we miss collections”, “we lose orders”.
- Who will use the system and from where: the shop, the office, the phone, the road.
- What other tools you use and want to keep: your invoicing tool, your WhatsApp, your accountant’s system, your bank.
- One person on your team who will accompany the process and knows the day-to-day well.
Do you throw Excel away?
Not necessarily. For one-off calculations, a specific analysis or a list you use once a year, Excel is still very useful. What changes is that it stops being the heart of the business: what moves every day (stock, sales, orders, collections) lives in a system, and from there you can export to Excel whenever you like.
Want to know what suits you?
We offer a free diagnosis: you tell us on WhatsApp how you work today, what is written by hand and what repeats, and within 48 hours we tell you in writing what suits you. It could be tidying up your Excel, a ready-made system or a custom one: we’ll tell you even if the answer is that you don’t need anything from us. It’s a first reply, not a full study, and it’s yours whether you continue with us or not.
